This guide is for setting up Yealink and Grandstream devices that have been purchased via Project Business or SwitchAid as hot desk locations. For third party handsets, please contact the support team and provide the MAC addresses so that we can verify if the device can connect to our provisioning system.
A. Setting up the device
1. Go to Config from the menu on the left of the Dashboard.
2. Then select Hardware from the drop-down.
3. You will land on the My Devices tab of the Hardware section
4. . Click the +Add Hardware button on the right-hand side
Enter the MAC Address and Serial Number (optional) for the device you wish to set up as a hot desk. The MAC address can be found with the barcode at the bottom of the device. It can also be found on the side of the original box that the handset arrived in and you can also power up the device and obtain the MAC from the phone’s Menu
Note: On a Yealink phone go to Menu > Status
Give the handset a Name and then select the handset type form the Hardware drop-down list.
Once you have entered the hardware details, switch on the Enable Hot Desking switch and then click the green Add Hardware button.
When you boot up the phone, the registered name that will appear on the device will be Hot Desk
To login and logout of a Hot Desking device, the user can dial *59. Alternatively, you can set up a different short code for logging in/out by going to Config > Short codes in the Dashboard. Once the short code has been dialled, the user will be prompted to enter their Extension number and PIN (if enabled).
B. Setting up the User
1. A user needs to be correctly configured before they can sign into a hot desk location. Go to the Users section of the Dashboard.
2. Click the blue Edit button next to the user you want to set up
Hot Desking is disabled by default. You can Enable hot desking for the user with the Hot Desking drop-down. When enabled, the user can login to a hot desking device by dialling *59 and entering their Extension number when prompted. For added security, you can select the Enable with PIN option. When enabled with PIN, enter a unique 4-digit PIN to the right of the drop-down. The user will be prompted to enter the PIN following their extension when logging in.
You are able to view who is logged in to a hot desk device by going to the Hardware section of the Dashboard and navigating to the Hot Desking tab.
